We are hiring in Munich for a permanent position: As Executive Assistant to the Managing Director (m/f/d), you act as a trusted partner to the Managing Director, providing excellent organizational and administrative support. You manage calendars, meetings, travel and internal communications, set clear structures and protect the Managing Director’s time and focus through proactive prioritization, discretion and reliable follow-through.
Make an impact:
1. Executive Calendar & Meeting Management: You manage and optimize a complex calendar, prioritize requests and ensure meetings have a clear purpose, agenda and appropriate preparation
2. Meetings & Offsites: You plan and coordinate leadership/team meetings and offsites, own logistics, minutes and follow-up and facilitate when needed
3. Travel & Visits: You plan domestic/international travel (including expenses) and organize visitor programs including agendas, logistics and hospitality
4. Communication & Confidentiality: You communicate professionally and diplomatically, represent the Managing Director when required and handle sensitive information with utmost discretion
5. Internal Communication & Structure CPM: You maintain Teams channels, folder structures and distribution lists, post relevant updates, review messages for clarity and implement pragmatic, sustainable improvements
What you’ll need to succeed
6. Several years’ experience as an Executive Assistant/Senior Assistant or in a comparable coordination role
7. Proven experience supporting senior leaders in dynamic, complex environments
8. Strong skills in Microsoft Outlook, PowerPoint, Teams, and SharePoint; ideally experience with travel/expense tools (, Concur)
9. Excellent organizational and prioritization skills; comfortable with complexity.
10. Strong execution and autonomy in managing multiple stakeholders
11. Professional presence with senior stakeholders and ability to set boundaries
12. Highest discretion, strong facilitation and collaboration skills across functions and time zones
13. Proactive, solution-oriented, detail-focused; consistent follow-through and continuous improvement mindset
14. Excellent written and spoken English; German proficiency is an advantage (local logistics, bookings, offsites, phone coordination)
