Position Summary
The Marketing Coordinator is responsible for administrative, project and process support of the Marketing team. She/he handles multiple tasks with competing deadlines independently and manages projects and processes efficiently.
Principal Responsibilities
1. Support Franchise Lead and the Marketing team in preparation of all marketing relevant tasks including but not limited to the:Development, production and distribution of Marketing materialPreparation in relevant local, national and international congressesManagement of external vendors, e.g. communication, event and creative agencies efficientlyOrganizing efficiently the central storage of promotional materialsHandle contract management and logistics for all Marketing eventsMonitor marketing KOL activities and fulfill all requirements of tracking and recording events for the transparency codeTrack the marketing spend in close collaboration with finance (monthly accruals, budget tracking)
2. Support and track Marketing process, develop, maintain and distribute agenda and protocols
3. Coordinate and organize workshops and meetings
4. Participate in administrative and financial workflow for offers, orders and invoices with respect to marketing activities
5. Handle general vendor and payment process for all external vendors
6. Handle and approve invoices, create necessary forms, ensure adherence to SOP (PRF, new vendor, PO Management)
7. Closely collaborate and pro-actively communicate within the assistant group to manage tasks and processes across departments.
8. Provide general office administration and backup for other assistants (Executive & Office Assistant, Marketing Assistant)
9. Backup for order management
You will need to have:
10. Experience as an Assistant, preferably in the pharmaceutical industry
11. Excellent written and oral communication skills in German & English
12. Excellent computer skills (Excel, PowerPoint, Word, SAP)
13. Highly service-oriented, calm and polite in a busy work environment
14. Able to handle multiple and changing priorities and deadlines
15. Flexibility and ability to adapt to changing conditions
16. High degree of accuracy and attention to detail
17. Sense of ethics and responsibility
18. Highly motivated and pro-active
