About the Role
We are seeking a highly skilled and organized professional to fill our Service Planner position.
* Coordinate customer inquiries for service calls by phone and email efficiently, ensuring timely responses and resolution.
* Schedule service work for technicians, balancing customer needs and business utilization requirements, while maximizing productivity and efficiency.
* Contact customers with service offers and agreements, maintaining open communication channels throughout the process.
* Manage customer expectations in terms of technician availability, providing accurate updates and notifications.
* Proactively chase up quotations for visits to achieve optimal utilization rates.
* Assist customers in identifying parts and provide technical support as needed, ensuring seamless problem-solving.
* Verify commercial accuracy of all orders and process orders entry in ERP Coda in a timely and efficient manner, minimizing errors and delays.
* Send order confirmations to customers for each order entered, confirming receipt and processing.
* Address any customer queries related to late deliveries, faulty goods, or stock discrepancies, resolving issues promptly and professionally.
* Obtain proof of delivery when requested, ensuring accountability and transparency.
* Raise credit notes for material returns or price discrepancies, accurately reflecting financial transactions.
* Support external sales and service technicians with their requirements, fostering collaboration and effective teamwork.
Requirements
* Proven experience in a similar role, demonstrating expertise and proficiency.
* Fluency in English and French, enabling effective communication with diverse stakeholders.
* Ability to remain calm, confident, and resistant to stress, maintaining composure under pressure.
* Strong organizational skills and ability to manage workload efficiently, prioritizing tasks and meeting deadlines.
* Excellent communication skills, both written and oral, facilitating clear and concise expression of ideas.
