We currently have an excellent opportunity for a

Assistant Facilities Manager (m/f/d)

to join our Integrated Facilities Management team in Frankfurt.

Your tasks:

1. Manage daily health & safety issues – maintaining regular scheduled meetings and records of the fire and safety teams/fire drills/safety equipment/training
2. Manage the team providing first line soft services to the site(s), including reception, mail operations, meeting & events, cleaning, waste & recycling, vending & food services
3. Monitor and maintain office equipment and supplies
4. Manage and maintain regular contact and meetings with relevant vendors - to report on issues, recommendations and cost estimates
5. Weekly walk-round with the vendor cleaning manager ensuring cleaning quality standards are maintained
6. Manage Trouble Ticket (Remedy) requests (helpdesk) - interface with internal customers and action queries promptly in line with service level agreement
7. Assist in the organizing of internal and external Client events
8. Managing the quality of conferencing facilities
9. Manage food and kitchen facilities – provide direction to housekeepers
10. Raise purchase orders
11. Deputies / provide cover for Facilities Manager when appropriate
12. Interface with Vendors including providing direction/information to vendors, facilities staff and service providers as required to ensure excellent coordination/execution of work within client environment with minimal disruption. Provide Vendor Coaching on Corrigo
13. Manage operations to mitigate operational risk
14. Responsible for overall integrity of the CMMS (Corrigo) and assuming responsibility for supporting the account team, overseeing proper system use and configuration to meet internal and client objectives
15. Responsible for all other duties and tasks as assigned

Your profile:

16. Knowledge of the Facilities/Office Services Coordinator role
17. Previous experience of working within a in a high profile corporate environment
18. Previous reception or hospitality experience
19. Education: Diploma/degree level
20. Problem solving skill
21. Good decision making
22. Excellent written/verbal communications
23. Spreadsheet and word processing
24. Customer focused
25. Good inter-personal skills
26. Assertive
27. Attention to detail
28. Ability to multitask and work without direct supervision
29. Ability to plan and manage work under time constraints
