We are seeking a Senior HR Business Partner Operations & Facilities Manager to join our team. This is a hybrid position based out of our Langenfeld, Germany office.
Job Summary
The Senior HR Business Partner Operations & Facilities Manager is a hands-on, consultative, and operationally-focused role, responsible for executing and managing day-to-day HR operations across Germany, as well as Austria, Switzerland, and Benelux and the Nordics. This position will directly report to the Chief People Officer, located in Waltham, Massachusetts (USA), and work closely together with the senior leadership to support the execution of HR practices and align with business goals, ensuring a high-performance culture and fostering employee engagement. The HR Business Partner Operations & Facilities Manager will be involved in the creation of contracts and policies, benefits administration, employee relations, talent acquisition coordination, performance management, and onboarding. Additionally, this position is responsible for managing our German facility including purchasing supplies, organizing team activities, working with the landlord and facilities vendors. This position is hybrid, with 3-days a week in Imprivata’s German office in Langenfeld.
Duties and Responsibilities
1. Provide guidance on complex HR issues, support performance management, disciplinary actions, grievance processes, and conflict resolution.
2. Conduct regular 1-1 meetings with respective business heads (senior leadership team).
3. Manage third-party partners including local service providers, benefit brokers, system vendors, and other consultants as needed.
4. Ensure HR practices comply with German and other international employment laws, health & safety regulations, and other applicable standards.
5. Stay current on legal requirements and advise on risk mitigation strategies.
6. Support the implementation of HR initiatives and programs and execute on HR department goals and objectives.
7. Maintain HR data and provide reports to support HR decision making and operational improvements.
8. Participate in recruitment and talent acquisition activities, including coordinating interviews and supporting hiring managers to attract strong talent.
9. Participate in the development and execution of new hire orientation and onboarding, including preparing materials and delivering the company overview and employee benefits.
10. Research, benchmark, develop, and administer competitive employee benefit and wellness programs for international employees, in partnership with local service providers. Ensure programs align and comply with local employment laws, maintain related records, document and update procedures.
11. In partnership with the learning & development and employee experience teams, identify training needs for teams and individuals.
12. Align with the global HR Business Partner team to implement and oversee performance management processes, including goal setting, employee reviews, and feedback cycles, to drive employee development and business success.
13. Develop and implement initiatives to foster employee engagement, satisfaction, and wellbeing
14. Perform day-to-day benefit administration – respond to employee issues, change reporting, invoice auditing, payment approvals, and communicate benefit information to employees.
15. Oversee and administer employee leave of absence requests – work very closely with service providers as needed to ensure that all leaves are communicated and processed according to country regulations and company policies.
16. Maintain the German Employee Handbook and applicable German policies.
17. Manage the German office facility – liaison with building management, ensure facility needs are met, oversee local supply vendors and ongoing office and kitchen purchasing.
18. Oversee all office events, meetings, and local functions.
19. Perform other related duties as assigned.
Required Qualifications
20. Bachelor’s degree or equivalent in Business Administration, Human Resources, or related discipline. CIPD (Chartered Institute of Personnel and Development) Level 7 qualification or equivalent HR qualification is highly desirable.
21. 5+ years of experience in HR operations, HR generalist roles with a strong understanding of employee relations, German employment law, and international benefits in EMEA.
22. Experience with global best practices, current trends, and market benchmarks in the tech industry.
23. Experience within a multi-site international environment is a plus.
24. Attention to detail and ability to manage programs and projects with minimal guidance.
25. Highly effective verbal and written communication skills in German and English, and interpersonal skills, with ability to influence and collaborate across all levels of the organization.
26. Strong analytical skills, with the ability to interpret data and make informed decisions.
27. Strong organizational skills with the ability to manage multiple operational HR processes simultaneously. Must be self-motivated, flexible, energetic, ability to multi-task, and work in a fast-paced environment.
28. Ability to work independently and collaboratively in a team environment.
29. High degree of confidentiality and integrity, discretion and ability to deal appropriately with confidential data.
30. Must be proficient with various computer applications, including Microsoft Office.
31. Must be fluent in English.
